Our Commitment to Privacy
Clover Counselling is committed to protecting the privacy and confidentiality of your personal health information. We collect only information reasonably necessary to provide psychotherapy, communicate with you, schedule appointments, maintain appropriate clinical records, process payments, and meet professional and legal responsibilities. We handle personal health information in accordance with the Personal Health Information Protection Act, 2004 (PHIPA) and the standards of the College of Registered Psychotherapists of Ontario (CRPO).
How Information Is Stored
Clover Counselling primarily maintains client records electronically using Jane, our practice-management and clinical-record system. Reasonable administrative, technical, and physical safeguards are used to protect personal health information from unauthorized access, loss, theft, use, disclosure, modification, or disposal.
Email and Website Communication

Information submitted through the Clover Counselling website is used to respond to your inquiry and determine appropriate next steps. Please avoid including highly sensitive or extensive clinical information in an initial website inquiry. Email, website forms, text messages, and voicemail should not be used for emergencies.
Use and Disclosure
Your personal health information is kept confidential. Information is generally disclosed to another person or organization only with your consent, unless disclosure is otherwise permitted or required by law. Where information is disclosed, Clover Counselling aims to disclose only what is reasonably necessary for the purpose.
Accessing or Correcting Your Record
You may request access to your personal health information and may request correction of factual information you believe is inaccurate or incomplete. Clover Counselling may ask for a written request so that the information can be clearly identified. Requests are addressed in accordance with PHIPA while preserving the integrity of the original clinical record.
